Junior Tenant & Collections Administrator | Cape Town

Introduction

A growing property portfolio is seeking a detail-oriented Junior Tenant & Collections Administrator to provide administrative support to the Group Property Manager. This role offers an excellent opportunity for an organized and professional individual looking to build a career within property administration, tenant relations, and rental collections.

The successful candidate will play an important role in maintaining strong tenant relationships, supporting rental collection processes, administering lease documentation, and ensuring that property records remain accurate and up to date. Working closely with Finance, property managers, tenants, maintenance providers, and internal teams, you will assist in the smooth day-to-day operation of the property portfolio.

This position requires excellent communication skills, strong attention to detail, and the ability to follow up consistently on outstanding matters. The ideal candidate will be comfortable engaging with tenants regarding rental accounts, handling administrative queries professionally, and maintaining accurate records and reports.

Key Responsibilities

Tenant Communication & Administration

  • Act as the first point of contact for tenant administrative queries.
  • Assist with rental statements, payment reminders, proof of payment requests, and lease-related enquiries.
  • Maintain professional communication via email and telephone.
  • Log and escalate tenant queries, complaints, and maintenance requests.
  • Follow up on outstanding documentation and renewal confirmations.
  • Maintain accurate tenant records and filing systems.

Rental Collections & Arrears Administration

  • Monitor rental payments against monthly schedules.
  • Identify unpaid and short-paid accounts.
  • Issue payment reminders and arrears notices.
  • Follow up on overdue accounts and secure payment commitments.
  • Update arrears tracking schedules and follow-up records.
  • Escalate high-risk or overdue accounts when necessary.
  • Prepare supporting documentation for recovery processes.

Lease & Property Administration

  • Maintain and update the lease register.
  • Track lease expiry dates, escalations, and renewals.
  • File lease agreements, notices, and amendments accurately.
  • Assist with occupancy schedules and monthly property reporting.
  • Liaise with third-party property managers where required.

Reporting & Recordkeeping

  • Prepare daily, weekly, and monthly administration summaries.
  • Maintain accurate tenant records and payment confirmations.
  • Support finance reconciliations with tenant payment information.
  • Assist with monthly rental income and collections reporting.

Job Requirements

  • Grade 12 or equivalent qualification.
  • Certificate or Diploma in Administration, Bookkeeping, Property Administration, Finance, or related field advantageous.
  • 1 to 2 years of experience in administration, debtors, collections, customer service, or property administration.
  • Basic understanding of rental accounts and collections processes.
  • Proficient in Microsoft Outlook, Word, and Excel.
  • Strong verbal and written communication skills.
  • Ability to manage tenant queries professionally.
  • Strong organizational and time-management abilities.
  • High attention to detail and accuracy.
  • Ability to work independently and escalate matters appropriately.
