New Vacancy- Travel Administrative Assistant and Personal Assistant

A premier tour operating business specializing in unforgettable safari experiences, is seeking a motivated and organized Administrative Assistant and Personal Assistant (PA) to support the operations team and enhance the overall efficiency of the organization. This role requires a blend of administrative skills, personal assistance capabilities, and a passion for travel and tourism. 

Requirements 

  • Proven experience as an administrative assistant, personal assistant, or similar role, preferably within the travel or tourism industry. 
  • Excellent organizational and multitasking skills, with a keen attention to detail. 
  • Strong communication skills, both written and verbal. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software. 
  • A proactive and problem-solving mindset. 
  • Ability to work independently and as part of a team in a fast-paced environment. 
  • Passion for travel and knowledge of safari destinations and experiences is a plus. 

Description 

  • Administrative Support: 
  • Assist in the day-to-day administrative operations of the office. 
  • Manage and organize files, documents, and records, ensuring they are easily accessible. 
  • Prepare and edit correspondence, reports, and presentations as needed. 
  • Handle incoming calls, emails, and inquiries, providing excellent customer service and support. 
  • Coordinate and schedule meetings, appointments, and travel arrangements for staff. 
  • Personal Assistance: 
  • Provide personal assistance to the management team, including calendar management, meeting preparation, and travel logistics. 
  • Assist with special projects and personal tasks as needed, demonstrating discretion and confidentiality. 
  • Tour Coordination: 
  • Support the planning and organization of safari tours and experiences for clients. 
  • Maintain up-to-date knowledge of tour offerings, pricing, and availability. 
  • Assist in communicating with suppliers, partners, and clients to ensure smooth operations. 
  • Financial Administration: 
  • Help manage budgets and financial records, including invoicing and expense tracking. 
  • Prepare financial reports and summaries as required.
